About the role
Overview
We are seeking a dedicated and detail-oriented Dental Receptionist / Scheduling Coordinator to join our dental front office team. The ideal candidate will play a vital role in ensuring smooth operations within our dental practice, providing exceptional support to both patients and healthcare providers. This position requires a strong understanding of dental terminology, patient management systems, and front desk operations.
Responsibilities
The responsibility of the Scheduling Coordinator is to help the potential patient clearly understand, and facilitate their commitment to, the services provided by the clinic
- Warmly greet each visitor to the center in a timely manner
- Distribute all necessary paperwork to patients and assist with completion of paperwork as necessary
- Collect payments as needed
- Check out patients and ensure next visits are scheduled as directed
- Ensure follow-up for hygiene after final appliance delivery and track follow-up
- Be always available to incoming patients, vendors, visitors, etc. – never leaving the front unattended during office hours, ensuring completion of scheduling for the last patient of the day
- Answer questions for patients about their visits; communicate questions to designated team member when necessary
- Respond to patient inquiries with a general knowledge of our products and services.
- Constant review of lobby to ensure appearance is clean and stocked
- Ensure office supplies for front office are stocked and communicate with Human Resource Manager for necessary supply orders
- Ensure patient communications are carried through to resolution
- Primary responder to phones. Take messages or redirect call to another staff member as required.
- Understand the patient experience and ensure that we are exceeding patient expectations through every step of the patient experience
- Cultivate lasting professional relationships with patients
- Present the services provided in a clear, concise, memorable and impactful way
- Schedule Smile Design for the patient
- Complete all necessary paperwork and documents
- Complete chart notes, as needed, track and upload patient documents daily. Request help from office manager and treatment coordinator as needed, but it is your responsibility to ensure these tasks are completed.
- Monitor KPIs for your position
Requirements
- High school diploma required; college degree preferred
- Preferred: knowledge of Open Dental software
- Dental/medical knowledge preferred
- Warm and inviting personality
- Ability to work a flexible schedule
- Ability to answer questions in a clear and concise manner
- Ability to educate consumers on products and services
- Engaging and friendly; excellent interpersonal skills
- Ability to build strong business relationship
- Ability to work in a stressful environment and maintain a pleasant demeanor
- Telephone experience required
- Advanced oral and written communication skills
- Strong organizational skills
- Must be a team player
- Commitment to providing excellent customer service and patient care
- Basic computer skills, strong keyboarding skills and knowledge of software including Microsoft Office Suite i.e., Word, Excel, Power Point
- Bi-lingual speakers are welcome
- Basic CPR Certification.

Compensation & Benefits
